Before you book and announce
Agree on the guest count and budget before committing to a venue. Confirm whether your date and arrival time cover the ceremony, reception or both, and put each location clearly on the invitation.
For guests crossing Dar es Salaam or arriving from another region, include a recognisable venue name and useful location instructions. Ask the venue about parking, accessibility and the best drop-off point; do not assume every guest knows the area.
Build one guest list your team can trust
Bring the hosts’ lists together, remove duplicate contacts and confirm who is included in each invitation. Choose who can edit details and who will handle replies so guests receive consistent information.
Keep a simple planning checklist with owners and due dates. ShereheCloud’s planner brings tasks, budget items, vendors and the event timeline together, while the guest tools keep invitations and RSVPs connected.
Set a reply deadline before finalising numbers
Design the invitation and send a test before sharing it widely. Give guests a clear date to reply, then use the RSVP list to follow up on pending responses before you confirm final numbers with your venue and caterer.
Allow enough time for guests to arrange travel. Review your message report after sending so a failed or uncertain SMS does not silently become an assumed invitation.
Keep contribution records clear
If you enable contributions, provide accurate instructions for payments made outside the platform. Guests can submit a receipt or screenshot, and the organiser reviews the evidence before confirming it.
Agree who will review those submissions. Do not treat an uploaded screenshot by itself as a verified payment.
Prepare your welcome team
- Confirm the final guest list and the person responsible for changes.
- Check QR invitations on a phone before the event.
- Make sure reception staff can access the check-in tools they need.
- Charge the phones and arrange a reliable connection at the venue.
- Keep a suitable backup guest list and a contact for questions at the entrance.
A platform for the host, wherever the venue is
ShereheCloud is an online planning tool for hosts in Dar es Salaam and across Tanzania. It does not book venues or supply event services on your behalf.
Start in your browser, organise your event and activate the premium tools when you are ready. Android and iOS apps are coming soon.
